YMCA of Greater Seattle System Specialist, ACTIVE Net in Seattle, Washington

Overview

JOB SUMMARY

Serves as the organization’s membership and program management system (ACTIVE Net) subject matter expert. Works collaboratively with business units to identify areas of opportunity to optimize use of the system to support the business objectives of enhancing the online shopping experience, driving online sales, and creating organizational efficiencies. Lead administrative functions to support ACTIVE Net operations and centralized business functions.Providing excellent customer service, serves as the liaison to branches and Member and Donor Services Department for ACTIVE Net system support.

Brief overview of position and responsibilities.

Responsibilities

  1. Lead, manage and evaluate the configuration of all ACTIVE Net modules (flex reg, membership, activities, and facilities/equipment) to meet business objectives (drive online sales, market-standard e-commerce experience, consistent buying experience across the Association).

  2. Deliver solutions that optimize the Association’s use of ACTIVE Net by working inpartnership with program/business leads. Understand business goals,identify issues, research and test solutions, ensure reporting requirements are collected and met.

  3. Oversee the audit process of system entries and develop recommendations to management based on analysis of information to ensure integrity of data and continuously improve processes.

  4. Troubleshoot, escalate and respond to user inquiries about system use, configuration and limitations. Serve as point of contact for ACTIVE Net product support.

  5. Collaborate with Association business departments, branches and functional business leads to ensure effective communication among stakeholders and to synchronize system use and expectations.

  6. Test, manage and communicate assigned releases, upgrades, enhancements and other system changes.

  7. Recruits, hires, trains, evaluates and supervises assigned staff.

  8. Troubleshoots, researches and resolves member, staff and customer issues in a timely manner; consistently provides excellent customer service.

  9. Provide general support to the department and branches during peak times with program entry, audits, rate increase adjustment, etc. as needed.

  10. Other duties as assigned.

Qualifications

  1. AA degree or equivalent post-secondary education or equivalent experience.

  2. Two or more years of related experience.

  3. Knowledge of or direct experience with process improvement methodologies, streamlining business processes to improve effectiveness and efficiencies.

  4. Ability to manage and prioritize multiple projects.

  5. Proven analytical/conceptual skills required to identify and interpret problems and recommend and implement solutions.

  6. Excellent customer service skills, with the ability to prioritize and manage workflow and resolve questions via phone, email and in person.

  7. Strong communications skills, both written and verbal.

  8. Ability to produce professional documents, reports and well-crafted correspondence using various office software (e.g. Word, Excel, PowerPoint).

  9. Strong attention to details; must be able to type 40+ words per minute accurately.

  10. Excellent computer skills, including word processing, database, spreadsheet software and web-based applications.

PREFERRED EXPERIENCE

  1. Previous experience configuring ACTIVE Net modules preferred.

  2. Experience with YMCA business functions and processes preferred.

  3. Experience with business process mapping and implementation.

  4. Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).

  5. Ability to speak any language in addition to English may be helpful.
