Job Summary

The YMCA of Greater Seattle is seeking a highly motivated, customer service focused individual to join the Member and Donor Services team. In this role you will assist staff, members, and donors by providing excellent customer service and administrative support for programs, membership and branch fundraising efforts. Duties for this position include responding to internal and external phone and email inquiries, data input and output, database management including mailing lists, pledges, rate increases and filing.

Responsibilities

  1. Assists staff, members and donors with general YMCA inquiries, including facility, membership and program information. Provides support with membership, program and financial development processes and procedures. Maintains current knowledge of operational, financial development and accounting procedures.

  2. Provides excellent customer service and facilitates the resolution of member/donor issues, questions and complaints that frequently require analysis of situations to determine the best course of action and use of resources. Focuses on member/donor satisfaction, experience and retention.

  3. Supports branch fundraising efforts with primary emphasis on Annual and Capital Campaigns. Generates and mails correspondence including thank you letters, pledge reminders and tax letters. Produces, processes and enters pledge cards and gifts.

  4. Performs routine processes to support membership and programs, such as financial assistance renewals, credit card expirations, hold adjustments, age adjustments, membership cancelations, balance adjustments, etc. Ensures accurate member records are up-to-date and accurate.

  5. Performs necessary database management and maintenance (ACTIVE Net & Raisers Edge) including mailing list files, pledges, rate increases, program/activity builds, fee set-up, address updates, acknowledgments, prospect files, etc.

  6. Manages corporate matching gifts, stock gifts,gifts made through other entities (i.e. Network for Good, United Way, federal employee giving) and online gifts.

  7. Supports Association Office membership and financial development efforts as needed including the Association Office Annual Campaign. Provides assistance with the management and coordination of events for donors, prospects, members and volunteers.

  8. Performs receipting function for Association Office.

  9. Works closely with Financial Development and Accounting teams.

  10. Other duties as assigned.

Qualifications

  1. High school diploma or equivalent. Associate’s degree preferred. Other applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered.

  2. Two or more years of experience in an administrative support/data entry position, or a minimum of one year of experience in a YMCA job using ACTIVE Net.

  3. Excellent computer skills and experience with Microsoft Office suite. Intermediate experience with Excel preferred.

  4. Strong skills attention to details, accuracy and proofing information.

  5. Knowledge of standard office equipment, such as fax machines, copiers and phone systems.

  6. Strong customer service skills, responding to multiple questions via phone, email and in person.

  7. Strong written and verbal skills.

  8. Ability to manage and prioritize multiple projects

  9. Prefer knowledge of and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Ability to speak any language in addition to English may be helpful.
