Job Summary

Under the direction of the Chief Youth Development Officer, the Administration Coordinator, Project Management provides a strong link between Youth Development Center of Excellence (YDCoE) teams: Education & Enrichment, Camping & Outdoor Leadership, Youth & Government, BOLD & GOLD Expansion and other departments involved in various projects. The Administration Coordinator collaborates with fellow leaders, to ensure new and current projects, processes, and practices are integrated in a system-based approach to achieve desired results. The Administration Coordinator performs moderately complex administrative functions to ensure assigned department operations flow smoothly, systems and processes are clearly communicated to internal and external stakeholders and ensures YDCoE projects are completed on schedule. Types/enters data for records, correspondence, memos and reports, and assists with scheduling, budget, and record tasks. Provides administrative support to the YDCoE Sr. Leadership team, as needed.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position, and hours of work and days are Monday through Friday, typically 8:30 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Responsibilities

ESSENTIAL FUNCTIONS

  • Assists in creating long and short-term plans including setting targets for milestones, track delegated tasks, produce reporting, and adhering to deadlines.

  • Builds, maintains, and monitors a yearly calendar of all tasks in all YDCoE areas based on organizational and department goals.

  • Responsible for flagging and communicating issues and upcoming deadlines to appropriate staff.

  • Serve as a point of contact for teams across various departments to the same project to ensure teams remain in alignment on projects.

  • Prepares reports and dashboards for projects, and tracking goals.

  • Attend meetings as assigned, take minutes and record next action steps.

  • Maintains complex confidential files and records.

  • Provides administrative support to YDCoE Sr. Leadership as needed.

  • Monitors the email, collects and distribute mail, answers the telephone; assists callers, provides answers to frequently asked questions, transfers calls and takes messages.

  • Help to design and maintain the YDCoE portion of the company Intranet site to ensure information is up-to-date.

  • And other duties as assigned.

This job operates in a professional office environment. This role routinely uses standard office equipment.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Qualifications

POSITION REQUIREMENTS

  • High school diploma or equivalent.

  • Two years or more of related experience.

  • High degree of discretion and confidentiality.

  • Ability to juggle multiple competing priorities.

  • Ability to work independently and with a team.

  • Intermediate computer skills.

  • Experience with Microsoft Office suite, (e.g. Word, Excel, SharePoint, Planner, and PowerPoint).

PREFERRED EDUCATION AND EXPERIENCE

  • Associates or Bachelor’s degree.

  • Project management experience preferred.

  • Previous experience with working with youth preferred.

  • Prefer knowledge of and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc).

Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
